POS and Back Office System Update – Version 5.1 (Released December 16, 2024)


The much-anticipated POS Version 5.1, released on December 16, 2024, brings a range of improvements and changes designed to streamline operations for postal services. Both the Counter and Back Office systems have been updated to enhance user experience, improve efficiency, and ensure compliance with new guidelines. Here’s a breakdown of the key updates in this release:

What's New in POS (Point of Sale) System?

1.     Registered Letter Weight Limit Reduced:

    • New Limit: The maximum weight of a Registered Letter has been reduced from 2000 grams to 500 grams. This change will help optimize postal service management and improve handling efficiency for lighter, more frequent packages.

2.     EMO (Electronic Money Order) Limit Increased:

    • New Limit: The maximum limit for EMOs has been increased from Rs. 5000 to Rs. 10000, giving users the ability to send higher-value money orders electronically.

3.     EMO Declaration Checkbox:

    • A new Declaration Checkbox has been introduced in the EMO Booking screen. Users must select this checkbox during the booking process; without it, payment cannot be completed. This ensures that the booking process is transparent and secure.

4.     Renaming of Services:

    • Registered Book Packet is now Book Post, though pricing, tariffs, and slabs will remain unchanged.
    • Registered Periodical has been renamed to Periodical Post, again with no change in pricing or tariff.
    • Business Parcel service is now called India Post Parcel Contractual.
    • Registered Parcel is now India Post Parcel Retail.
    • VPP (Value Payable Post) is now COD Retail (Cash on Delivery Retail).
    • Registered Printed Books and Registered Pattern & Sample Packet services have been discontinued.

5.     IPO Denominations Updated:

    • Only four denominations of IPO (Indian Postal Order) will be available: Rs. 10, Rs. 20, Rs. 50, and Rs. 100. This update simplifies the range and improves consistency in available options.

6.     New Service - Registered Postcard:

    • A new service, the Registered Postcard, has been introduced under mail booking with a maximum weight limit of 5 grams. This service provides an additional affordable, registered option for users.

7.     Report Enhancements:

    • In reports, the standard Product Code will now be displayed instead of the Product Name. The updated Product Name will only appear when selecting the Sub-category in the detailed reports and other relevant areas.

What's New in Back Office System?

  1. Merger of CRC & NSH:
    • CRC (Centralized Receiving Centre) and NSH (National Sorting Hub) have been merged, and from now on, all registered bags will be closed under Speed Post. This change aims to streamline the processing of registered mail and improve delivery efficiency.

Important Notes:

·       No Change in Reports: Despite the updates to the system, there will be no changes in reports regarding the display of Product Names. Users are advised not to raise tickets regarding this matter, as the Product Code will remain standard in the reports.

·       Service Continuity: For services that have been renamed, pricing, tariffs, and slabs will remain the same, ensuring no disruption in pricing and service accessibility.
