Sub:- Harassment of staff due to unscientific
and unrealistic business targets.
In continuation to this Union Association letter of even no. dated:-31-10-2024 we wish to draw your attention to the growing issue of undue pressure being placed on the staff due to unrealistic business targets. It has been observed that some divisional head/sub divisional heads, treating these targets as personal challenges, are subjecting staff members to severe pressure without considering the practicalities and limitations of their roles.
The primary issue lies in the lack of a structured and scientific approach to target- setting at the circle or divisional level. Rather than implementing well-planned marketing strategies, the responsibility is being disproportionately placed on the ground staff.
Employees are facing undue harassment, being required not only to manage their duties within the sub office but also to procure business. This dual role is nearly impossible to sustain, as it is not feasible for any individual to be physically present in the office while simultaneously performing outreach for business development.
The current approach lacks the support of dedicated marketing teams and organized strategies for business growth. Instead, it has become an exercise in passing down targets without adequate tools or backing, leading to immense stress and an intolerable work environment for ground-level employees.
In light of these issues, we respectfully request that the administration adopt a more strategic and supportive approach to achieve business targets without undue harassment to ground staff. Here are some suggestions that balance achievable targets with an enhanced support structure:
1. Utilize social media: POSB schemes may be promoted through Circle, Divisional level social media accounts, share success stories, and educate the public on various postal services. This platform could reach a wide audience quickly and with minimal cost.
2. Advertisements in Newspapers: Publish informative and visually appealing advertisements in local newspapers to reach diverse demographics. Highlight new schemes, customer testimonials, and upcoming events to boost awareness and attract customers.
3. Engage with Press Media:-Arrange interviews with local press and media channels to discuss postal schemes and showcase the positive impact on the community. Feature postal officials discussing the benefits of these schemes and addressing frequently asked questions to build trust and interests among the public at Circle or divisional level.
4. Collaborate with District Administration: Approach district administrators to support postal initiatives by incorporating them into community outreach activities. This collaboration can help in reaching remote areas and gaining trust in the governments’ backing of postal services.
5. Form Marketing and Business development teams: Establish dedicated marketing teams focussed solely on business development. These teams could work in the field to promote scheme, conduct awareness drives, and directly interact with the public.
6. Utilize Administrative office resources on Saturdays: Consider involving officials and officers from the administrative offices on Saturdays to participate in outreach programs, such as holding small camps or melas in different areas to promote schemes.
7. Hold Melas with Inspector participation: Organise melas (specialized fairs) with Inspectors to engage with the community directly. These events could include presentations, scheme enrollments, and on-the-spot assistance for new customers, making it convenient and appealing for people to participate.
8. Provide Basic Facilities: To improve the work environment, essential facilities like gensets, UPS and battery backup systems shall be provided to needy offices to ensure continuity during power outages.
9. Supplying of brochures to all offices:-Brochures for all postal schemes be supplied to all sub offices, enabling staff to effectively inform customers and promote these scheme. Access to updated materials will aid in customer outreach and support target achievement in a more structured manner.
This will not only ease the burden on ground staff but will also enhance the effectiveness of our outreach efforts.
