India Post has introduced a series of updates under the IT 2.0 initiative aimed at improving its services and ensuring secure operations. These advancements focus on secure data management, role-based access control, and streamlined processes to enhance efficiency across postal services.
Identity, Access & Role Management
1. Role Management - Secured Authentication and Access Control
- Secure Employee Data: Ensures accurate management of employee information and roles within India Post, safeguarding employee data from unauthorized access.
- Secure Access: Synchronizes employee data, providing secure access to authenticated users.
- Secure Role Information Sharing: Shares securely stored role information with relevant modules after successful authentication.
Role Mapping and Management
- Efficient Role Assignment: Role modifications are automatic during transfers, with no need for repetitive updates.
- MDW Modifications: Divisional heads can modify MDW when needed, with automatic updates to all relevant posts.
Grouping of Roles
Roles in India Post are grouped based on functional designations like Post Master, Assistant Post Master, and Divisional Head. This simplifies role assignments, as roles can be filtered and assigned based on the designation of posts, allowing for more organized management.
Temporary Role Assignments
In emergencies or special situations, employees can be assigned temporary roles. These user-based roles are time-bound and automatically invalidated after a specific period. This ensures that short-term assignments don’t affect the overall role structure.
Secure User Locking and Unlocking
The Role Management System includes enforced password policies, such as minimum length, character requirements, and failed login attempts leading to temporary user locks. Authorized personnel can lock/unlock users when necessary. Users can also reset their passwords via email/SMS verification.
Security and Reporting Features
The system provides detailed log reports on user activities and role assignments. Additionally, it identifies excess permissions and potential password compromise or sharing cases by analyzing login patterns across different locations.
Automated Barcode and Label Management
The IT 2.0 initiative introduces automatic barcode generation, improving the booking solution:
- Automated Barcode Generation: Replaces manual processes, providing a seamless experience for both customers and employees.
- Barcode Allocation: D0, RO, and CO can allocate barcode ranges, simplifying the process of managing barcodes for offices and bulk customers.
- Standardized Labels: Offers improved label printing options with hassle-free reprinting.
Payment and Booking Solutions
- Quick Booking: A new quick booking option reduces transaction time for various article types, making the process more efficient.
- Secured Address Storage: Customer addresses can be stored centrally and retrieved through mobile numbers, reducing data entry time.
- Improved Payment Methods: Multiple digital payment methods are now supported, including dynamic UPI QR code payments. The system also supports a cart-style checkout process that allows users to modify transactions before completing payment.
E-IPO and Delivery Improvements
- E-IPO: Enhanced features in retail services provide secured delivery options, such as OTP/Aadhaar-based verification.
- Improved Delivery: The system enables OTP-based validation for recalled articles and real-time reflection of scanned articles in the delivery system. Return articles can be processed under "Pending Confirmation" for seamless management.
Pickup and Sub-Accounts Management
- Online Pickup: Pickup requests and article booking can now be managed entirely online, with expanded services to accommodate all article types. Customers can choose pickup slots based on the availability of postmen or pickup agents.
- Controlled Sub-Accounts: Efficient management of BO/SO accounts is achieved through automated BO/SO summary generation, with error management systems handling discrepancies during verification.
Treasury and Budget Management
- Treasury Enhancements: New features include cheque remittance through the Treasury system, real-time cash balance views, and options for handling bulk stamp sales.
- Budget Management: Monthly expenditure plans (MEP) can be uploaded, along with consolidated reports at various levels of the organization.
Bank Reconciliation
Bank reconciliation has become more straightforward, with real-time cash and cheque system updates. The system now supports NEFT, RTGS, NACH, UPI, and cheque remittance tracking.
Employee Self-Service Portal
- Self-Service Features: Employees can now file Annual Immovable Property Returns (AIPR) and apply for NOC, Visa, and other official permissions through the Employee Self-Service (ESS) module. Leave conversions, service book access, and other administrative tasks can also be managed online.
Integrated Support Desk
India Post's support desk is now integrated with the Employee Portal, making it easier to raise and manage grievances. Employees can access FAQs, raise grievances with mobile verification, and withdraw requests as needed.
Conclusion
India Post's IT 2.0 initiative reflects a significant leap in security, role management, and operational efficiency. These updates not only improve the internal management of postal services but also enhance customer experiences with streamlined booking, payment, and delivery processes.
