PORTAL. SOP - User ID Management for Divisions (SOL Change, Role Change, Deletion, Activation, User Creation) Version 1.2.
UPLOADING REQUESTS IN PORTAL:
Finacle User ID change details to be received through mail from concerned Post offices by concerned branch in DO in the prescribed format Once requests are received through mail, categorise the requests as below
o User Creation, SOL/Role, Activation, Deletion Requests can be raised for various roles like Counter Postal Assistant, Supervisor, Auditor/Inspector, Postmaster, SBCO (Supervisor, PA), GDS/MTS, System Administrator. These requests are to be uploaded in the below Portal using login credentials of the Division https://mis.cept.gov.in/login.aspx Select User ID Request for raising the requests Click Dropdown and select any of the below request
ROLE CHANGE REQUEST:
When the role of the official is changed in a SOL, his role id needs to be changed in the SOL. This is ROLE change. For processing ROLE change, the office should provide the following details
o Employee ID o User ID o SOL ID to which the official belongs o Current Role ID of the user
o Required Role ID of the user
o Whether Inventory is required (Y or N)
o Whether multi role is required (Y or N)
o Date from which the official required the role
Process in Portal:
o Drop down and Select Role/SOL Change Request
o Enter the Valid User ID/Employee ID and fetch the details
o User Name and Current SOL/Role will be displayed
o Select the Role in the drop down o Select the Office in the drop down
o If Inventory required for Supervisor, tick the Inventory authorisation. Otherwise not required
o SU+CPA Roles request will be enabled only for multiple role users. o If multiuser required, select the role as CPA or SU for enabling SU+CPA Roles req
o Select the From Date, when the role change needs to be effected
SOL CHANGE REQUEST:
When an official is transferred from one SOL to another SOL as transfer or deputation, his user id needs to be transferred from his SOL and attached to the target SOL. This is SOL change. For processing SOL change, the office should provide the following details
o Employee ID
o User ID
o Role ID
o SOL ID to which the official belongs o SOL ID to which the official is to be transferred
o Whether Inventory is required (Y or N) o Whether multi role is required (Y or N) o Date from which the official is to be transferred
Process in Portal:
o Drop down and select Role/SOL Change Request
o Enter the Valid User ID/Employee ID and fetch the details
o User Name and Current SOL/Role will be displayed
o Select the Office in the drop down under select Office o Select the Role in the drop down under select Role
o If Inventory required for SU, tick the Inventory authorisation. Otherwise not required o SU+CPA Roles req enabled only for multiple role users
o If multiuser required, select the role as CPA or SU for enabling SU+CPA Roles req
o Select the From Date, when the sol change needs to be effected
DIVISION CHANGE REQUEST: When an official is transferred from one division to another division as transfer or deputation, his user id needs to be transferred from his division and attached to the target division. This is Division change. For processing Division change, the office should provide the following details
o Employee ID
o User ID
o Role ID
o SOL ID to which the official belongs
o SOL ID to which the official is to be transferred
o Whether Inventory is required (Y or N)
o Whether multi role is required (Y or N)
o Date from which the official is to be transferred
Process in Portal:
o Enter the Valid User ID/Employee ID and fetch the details
o User Name and Current SOL/Role will be displayed
o Division change request should be raised by the relieving division
o Tick Division change
o Select the Division in the drop down under Select Division
o Select the Office in the drop down under select Office
o Select the Role in the drop down under select Role
o If Inventory required for SU, tick the Inventory authorisation. Otherwise not required
o SU+CPA Roles req enabled only for multiple role users
o If multiuser required, select the role as CPA or SU for enabling SU+CPA Roles req
o Select the From Date, when the sol change needs to be effected
DELETION REQUEST: Deletion of userid is done in the following scenarios:
o When a user has multi-role userids (like CPA & SU), but only one role is needed in the SOL, the other role userid needs to be deleted.
o When a user is transferred from CBS office to non-CBS office
o When a user proceeds on leave, his userid needs to be deleted.
o In a SOL, all the non-working finacle userids should be deleted.
o When an official proceeds on retirement or on suspension or removed from Service, his userid needs to be deleted
For processing Deletion, the office should provide the following details o SOL ID o User ID o Employee ID o Role ID of the user o Reason for deletion o Date from which the official user id needs to be deleted
Process in Portal:
o Drop down and select User ID Deletion Request
o Enter the Valid User ID and fetch the details
o User Name and Current SOL/Role will be displayed
o Select the reason for deletion in the drop down
o Select the From Date, when the user needs to be deleted o Submit the request
ACTIVATION REQUEST:
Activation of userid needs to be undeleted in the following scenarios: o When the official returns from leave
o When a multi user is deputed from a HO ( where only one role userid is kept deleted) and deputed to a single –handed office
o When a user is reinstated from punishment For processing Activation, the office should provide the following details
o SOL ID
o User ID
o Employee ID
o Role ID of the user
o Reason for Activation
o Date from which the official user id needs to be undeleted
Process in Portal:
o Drop down and select User ID Activation Request
o Enter the User ID/ Employee ID and fetch the details
o User Name and Current SOL/Role will be displayed
o Select the reason for revoking deletion in the drop down
o Select the From Date, when the user needs to be activated or undeleted o Submit the request
USER CREATION REQUEST: An official joined the department. CSI ID/Employee ID will be created at SAP. Same User ID/Employee ID (CSI ID) should be given for user creation request. When a User ID need to be created, the office should provide the following details o SOL ID o User ID (CSI ID) o Multi User (CSI ID_SU) o Employee ID (CSI ID)
o Role ID of the user
o Email ID of the user
o Reason for Creation
Process in Portal
o Drop down and select User ID Creation Request
o Enter the Valid CSI ID and fetch the details o Enter the User Name
o Select the Role in the drop down under select Role o Select the Office in the drop down under select Office o Enter the Email ID o Submit
VIEW STATUS OF REQUESTS PROCESSED:
Divisions will be able to view the status of requests raised based on the date selected. Once CPC completes the requests, status of the requests will get updated. o Drop down and select the Status of Requests
o Select Report and check the status of Role/SOL/Creation/Deletion/Activation Request
